2021 Virtual District & Election Meetings

Chicken Farmers of Ontario (CFO) is dedicated to responsible leadership and governance excellence. The CFO governance structure consists of elected Board Directors and District Committee Representatives (DCRs) from across the province. Everyday, this team of strategic-thinking, skilled and passionate individuals help to ensure the Ontario chicken industry continues to be strong, vibrant and, most importantly, an effective network that all Ontario chicken farmers can be proud to be a part of.

In 2020, nominations for Board Directors and District Committee Representatives took place  virtually in Districts 1, 2, 3, 4 and 5. As we're forced to do things differently this year, the nomination process was administered through digital solution. CLICK HERE to see the nomination results from Districts 1, 2, 3, 4, and 5. District 4 held its election meeting on February 3, 2021.

Successful candidates will begin their term at the Virtual CFO Annual General Meeting on March 25, 2021.

How can I attend the District 4 meeting in order to vote at the election?
District 4 farmer-members who intend to participate in the election and vote for the Board Director and District Committee Representative positions are required to register by 3:00 PM on February 3, 2021. CLICK HERE to register.

Each District 4 farmer-member who has registered will receive an e-mail with a unique link to one voting ballot to place your vote at a specific time on the evening of the meeting, whether you are in attendance on Microsoft Teams or not.
What email address should I use when registering for a meeting?
It is necessary to use the same email address that is recorded in your CFO Connects account. This will allow CFO staff to confirm your identification and eligibility to vote.
 
Can another farmer-member vote on my behalf?
If a farmer-member is unable to attend the election meeting, they must e-mail or inform CFO of their intention to designate an alternate for voting in writing.

This person must be a family member who is not a farmer-member or a representative of a farmer-member. 
 
Who is eligible to vote?
Farmer-members must have the following criteria:
 
  • Must reside in District 4 and
  • Must be a CFO Farmer-Member and owner of the property on which chickens are produced (registered premise)
Did You Know?
 
  • One vote per farmer-member- NO EXCEPTIONS
  • If there are two or more joint owners, the first person to register themselves at the meeting will have the voting right
  • Corporate entities (i.e. Ltd, Inc.) are required to designate one individual and that person must reside in the District
  • If you own more than one farm (registered premise), regardless of the ownership structure, you may only vote once

How will the virtual election process verify the voter?
Prior to the start of the election meeting, a CFO staff-associate from the Legal and Regulatory Department will have verified that all registrants are eligible to vote.

Therefore, it is important that you register for the election meeting by 3:00 PM on February 3, 2021 to be eligible to vote. 
 
Who will oversee the election process?
Consistent with the CFO By-Law, CFO has appointed Geoff Spurr, external legal counsel to CFO, as the independent Returning Officer (RO), who will facilitate and oversee the election process. The RO will further appoint scrutineers to help with the oversight of the election process.
How will voting take place without an in-person meeting?
All farmer-members who have registered for their election meeting will receive an e-mail with a link to a voting ballot at 6:45 PM. When the speeches by all candidates are completed and the RO declares that voting is to commence, the voting ballot link will be live.
What is the digital voting process?
All eligible registrants will receive an e-mail with the voting ballot link at 6:45 PM. When voting commences, the voting ballot link will be live and you will be given 10 minutes to vote.  
What if I experience technical issues while trying to submit my ballot?
Farmer-members should contact CFO’s Virtual Election Voting Process Hotline at 289-636-7004.
Are the votes secret ballot?
Yes. The software that CFO has procured, ensures confidentiality of the voter.
Is my privacy protected during the voting process?
Yes, the software that CFO is utilizing counts ballots and produces results of the votes but does not identify individual voters by name.
How will the successful candidate for the position of Board Director be determined?
In marking the ballot for Board Director voters shall select the name of the nominee of their choice.

The Returning Officer and the scrutineers shall count the votes immediately on completion of voting.

If no one nominee for Board Director receives a majority of the ballots cast (i.e., 50% plus one), a second ballot shall be held with the Returning Officer removing the name of the nominee with the least votes. If necessary, the Returning Officer will conduct subsequent ballots in this manner to complete the election of Board Director.

How will the successful candidates for the position of District Committee Representative be determined?
In marking the ballot, voters shall select the names of the nominees of their choice. A voter must vote for the number of persons to be elected. Any ballot not marked for the full number shall be declared spoiled.

District Committee Representatives up to the numbers allowed, receiving the greatest number of votes, shall be declared elected by the Returning Officer.

Farmer-Members who were nominated for the position of Board Director in District 4 and who will be running in the upcoming election are as follows:

Who is running for the District 4 DCR position?
This upcoming election, there are three DCR positions available in District 4.

Farmer-Members who were nominated for the position of District Committee Representative in District 4 and who will be running in the upcoming election are as follows:

Braydon Olszowka, Windham, ON
Darren Kraay, Jarvis, ON

A nominee for the Board Director position who is not subsequently elected as Director may be nominated for the position of DCR at the election meeting.
